SUBCONTRACTOR RULES AND REGULATIONS
These guidelines are provided to you (as a subcontractor for Robert Ace Builders), so that you can ensure that your operation is aligned with our expectations and requirements as the project builder.
Further, it will outline the consequence(s) if rules are broken and serve as the benchmark for how your individual job performance will be evaluated.

RULES
1. TEAMWORK: We are all part of a team – respect each other and communicate well. If there is ever an issue or concern, address it with the Robert Ace Builder’s Job Supervisor.
2. SITE SUPERVISION: The Robert Ace Builder’s Job Supervisor is the ultimate authority on the project site.

Subcontractors shall not make scope or product substitution unless directed by the Robert Ace Builders Job Supervisor.

Subcontractors shall not take directions from other trades unless specifically directed to by the Robert Ace Builders Job Supervisor.

Subcontractors should only ask for clarification and/or information pertaining to the work being done at a particular job from the Robert Ace Builders Job Supervisor. No other parties, including the customer, are authorized to the information listed above.

Customers or Customer’s Representative(s) are not allowed onsite without being accompanied by a representative from Robert Ace Builders. If you allow unauthorized access to the site, you and your company shall assume all legal and financial liability for any incidents that may occur.
3. CONDUCT: Think about the image you are portraying. You are not just a representative of your company, but also a representative of Robert Ace Builders. Your appearance should look tidy and well kept. Be courteous and kind to anyone onsite. If the language that you are using appropriate for the person you are talking to?
4. HEALTH & SAFETY: Construction sites are inherently dangerous. You are responsible for your own safety and the safety of those around you. No one is exempt from Health and Safety requirements. If it’s not safe, or you don’t feel comfortable, don’t do it.

Follow standard health and safety procedures for your industry.

Continually check for new hazards.

Warn others and watch each other’s backs. Don’t assume they know!
5. SMOKING & VAPING: No smoking during work time. If you are smoking during a break, do so outside and away from non-smokers. Dispose of butts safely and cleanly. Not on the ground!
6. DRUGS/ALCOHOL: No alcohol/drug use during work time. This includes any DEA scheduled drugs (doctor prescribed or not) which could impact safe work on a job and medicinal marijuana. We will not discriminate against anyone who may need marijuana for medical purposes; however…

We do not have to make special accommodation(s) for medical marijuana use on the job.

We have the right to discipline employees/subcontractors for using or being under the influence of medical cannabis during work.

Marijuana is still on the federal list of controlled substances and will be viewed in the same way as if you are intoxicated via alcohol during work.
7. HOURS OF WORK: Subcontractors shall not show up unannounced whether during work hours or after hours. This can lead to unsafe conditions or additional work being required. You will need to inform the Robert Ace Builders Job Supervisor to any and all changes in your scheduled work time or site visit.
8. PROTECTION OF EXISTING/INSTALLED ITEMS: Job site appliances or owner bathroom’s are not to be used at any times! If offered, politely decline. When working within a nearly completed new construction area or an existing home, always use drop sheet and/or plastic protection. Personal items or tools should not be placed on any countertops/fixtures/finished products.
9. JOB SITE CLEANLINESS: At the end of each workday (if not a full day, then each work period) the job site must be organized and cleaned of construction debris. This is to ensure safety and project a professional image.

The disposal method provided by Robert Ace Builders is for job related debris only. It is not for personal items or food trash, as this can lead to animals in and around the jobsite.

If you need to leave tools/supplies on site, this needs to be cleared with the Robert Ace Builders Job Supervisor and done so in an orderly manner.
10. JOB SITE SECURITY: If you are the last person onsite, it is your responsibility to make sure the job site is secured. This includes closing any openings and/or locking all doors/windows (unless otherwise instructed). In the event that an opening cannot be closed or protected, you must contact the Robert Ace Builders Job Supervisor prior to leaving the site.
12. MISTAKES/PROPERTY DAMAGE: We all make them. Own up. Do not try to hide it. Let the Robert Ace Builders Job Supervisor know immediately (the sooner we know about an error, the more options we have to properly deal with it). Learn from it and move on.

Subcontractor must correct or redo work that does not meet company standards

All costs associated with rework, delays, or cleanup are the subcontractor’s responsibility

Back-Charges

Cleanup or debris removal

Schedule delays caused by non-compliance

Damage to materials, finishes, or other trades’ work

Additional supervision or inspections required

Withholding of Payment

Work passes inspection

Corrections are completed

Documentation is provided (insurance, lien waivers, etc.)

Removal from Approved Subcontractor List

Subcontractor is temporarily removed for bidding consideration of future projects

May be permanently or indefinitely removed from bid lists

ACCOUNTABILITY
Robert Ace Builders utilizes the 3-Strike Accountability Method. The Robert Ace Builders Job Supervisor will document each strike with dates, details and outcomes, so that expectations are clearly communicated and violations to safety, schedule, quality and professionalism are dealt with consistently and fairly.
Robert Ace Builders understand that there may occasionally be an extenuating circumstance where a violation is committed; however, flagrant or repeated incidents across multiple projects will not be tolerated may be grounds for possible termination of relationship by Robert Ace Builders management team.
Strike 1 – Verbal Warning (Documented): A verbal warning will be issued explaining the specific violation and the expected corrective action. The strike will be documented internally at Robert Ace Builders only.
Strike 2 – Written Warning: A written warning will be issued outlining the repeated violation or failure to correct behavior. A copy of the warning will be provided to the subcontractor’s management team.
Strike 3 – Removal From the Jobsite: The third strike will be documented both, internally and externally, and the matter will be turned over to Robert Ace Builders management for further review.

I UNDERSTAND THAT IT IS MY RESPONSIBILITY TO FOLLOW ALL COMPANY RULES, JOBSITE STANDARDS, AND SAFETY REQUIREMENTS, AND THAT FAILURE TO DO SO MAY RESULT IN DISCIPLINARY ACTION AS OUTLINED ABOVE. BY SIGNING BELOW, I CONFIRM THAT I UNDERSTAND AND AGREE TO COMPLY WITH THIS POLICY.
